Digital Data Collection Tools for Teachers

Let’s talk data collection.  It’s probably one of, if not THE most important part of our job as Special Education teachers, right?  Well, besides the IEP of course.  But the driving factor behind an IEP is data.  Data to show if the student is making progress, data to show if the student is not making progress, and data to show what supports are put in place for student success.

Nowadays, most of our job is turning from paper and pencil to all things digital, especially after teaching through the pandemic. Digital data collection can make tracking student progress more efficient, but it also comes with important responsibilities. From protecting student privacy to making sure the data actually informs instruction, teachers need to approach these tools with both intention and care.

So, what are some ways we can drive our data collection to be more digital as well?  Here are some ideas and resources:

Digital Data Collection Tools + Resources for Teachers

Google Forms

Google is by far one of, if not THE easiest, and most convenient way to collect data throughout your day.  You can use any of the google apps – sheets and forms being the easiest and most popular – to create a data sheet.  You can also download the google apps on your phone (will work on both Apple and Android phones) so that when you are out and about, pushing into Gen Ed classrooms, or working with a small group, you can just pull up your app and data sheet and input the data.

I have a large bundle of over 100 Digital Data Google Forms ready for you to use today.

All Google apps are free to use with a Google email address.

eSped

eSped is an app used by Frontline Management, which is used in school districts nationwide.  With eSped you can →

  • Manage the Special Education process and improve the quality of IEP’s
  • Enhance compliance with state requirements and district policies
  • Identify, prioritize and act on opportunities for Medicaid reimbursement
  • Manage complex RTI / MTSS processes
  • Improve 504 Plan efficiency and effectiveness

  • Easily integrate with your student information system and transfer IEP documents between districts

Because this one is district provided, please check with your administration if this is something that is readily available for you to use.

Whale Shark Software – Exceptional Children Accommodation & IEP Data Tracking (EC-AID)

EC-AID is a software program for collecting data on IEP goals, student accommodations, and service delivery time. The system will generate robust reports with graphs, making it easy to share data with families. The system will send notifications when it is time to collect data on your goals, based on the number of samples you need and the number of people associated with the goal. The goal measurement instructions (that you write) will ensure that everyone is collecting the same data, in the same way, and the way you intended for the data to be collected. You can even add your school calendar so the system will not send notifications when school is closed. You can associate as many teachers with each student’s goals and accommodations as you need to.

This is a great way for teachers to be made aware of students’ accommodations and for them to track that they are providing the accommodations and that the students are using (or declining) their accommodations. All you have to do is enter your information and the system does the rest.
