TIPS FOR GETTING ALL THE IEP PAPERWORK DONE

Getting all of the IEP paperwork done can be a daunting task, but it doesn’t have to be. With some preparation and planning, you can ensure everything is completed on time and correctly. In this article, we’ll provide some tips for getting your IEP paperwork done quickly and efficiently so that you can focus on providing the best possible education for your student while also limiting the amount of time you spend outside of contract hours working on IEP-related tasks. Read on to learn more!

Long-Range Planning

One of the best ways to ensure the timely completion of IEP paperwork is to plan ahead. When you receive your caseload, start planning for how and when you’ll complete their IEPs by breaking down the tasks into smaller steps over a period of time. For example, if you need to write a goal, break it down into several mini-tasks, such as researching possible objectives, writing each objective in detail, adding timeline benchmarks, etc. Long-range planning allows you to space out your tasks throughout the school year and know exactly what you need to do and when.

Set Deadlines

With long-range plans come deadlines – both internal and external. Create an action list with clear due dates that are realistic. You may also want to set reminders on your calendar or phone so that you don’t miss any important deadlines. This will help keep you organized and on track.

Stay Organized

Organization is key when it comes to getting all of your IEP paperwork done on time. Make sure that all documents are clearly labeled, filed neatly away in a safe place (such as a color-coded binder), and easily accessible. Consider utilizing an electronic filing system so that documents are available anytime from anywhere.

The IEP Meeting Toolkit can help keep you organized and on-track when long-range planning as it has everything you need to plan your students’ IEP meetings. The best part? You can use it over and over again for each student on your caseload!

Work During Your Planning and Prep Times

Take advantage of your planning and prep times to work on IEP paperwork. During these times, you can focus solely on this task without the distraction of students or other duties. Utilize this time to work through any unfinished tasks, review documents, and make any necessary edits or changes.

It’s easy to get caught up in school drama or distracted by talking with co-workers, but if your goal is genuinely to finish all IEP paperwork at school, you have to have focus and determination to steer clear of those distractions.

Let Go of Perfectionism

Doing your best is good enough! It’s easy to get caught up in the details of IEP paperwork and want everything to be perfect. While ensuring accuracy is important, don’t let perfectionism hold you back from completing your work on time.

Prioritize What Needs to Be Done Immediately and What Can Wait

When it comes to IEP paperwork, there are certain tasks that must be completed immediately and others that can wait until later. Prioritize what needs your attention now so you don’t end up missing important deadlines. This will also help you stay organized as you work through each task one at a time.

Come In a Bit Early in the Mornings

Mornings are often the most productive time of day, so come in early to get some extra work done if that time of day is productive for you. Take advantage of quieter mornings with fewer distractions and fewer people around. This will give you more time to focus on your IEP paperwork without feeling rushed or overwhelmed.

Don’t Reinvent the Wheel with Each IEP

Each IEP is unique, but you don’t have to start from scratch every time. Utilize templates and other time-saving resources to streamline the process and save yourself some precious time. Using IEP Goal Banks is a great way to find pre-written goals that can be used, edited, or adapted for each individual student. Keeping a list of frequent phrases, words, and descriptions that you use can also help speed up the process.

Members of The Intentional IEP have access to over 13,000 pre-written IEP goals that can be used and adapted to help save time when writing IEPs. Learn more about the benefits of membership and join thousands of other teachers who are saving time today!

Use Technology to Increase Your IEP Writing Efficiency

Technology can help you get your IEP paperwork done faster and more efficiently. Utilize online tools such as text-to-speech software, dictation programs, or speech recognition software to save time on typing. Electronic signature software can also streamline the process by eliminating the need for physical documents. And technology, like using Google Forms for data collection or gathering information from parents and other teachers, paired with pen-and-paper methods, can be a huge game-changer for organizing and collecting the data you need for each IEP.

While getting all of your IEP paperwork done can seem overwhelming, a little planning and organization can go a long way. Utilize these tips and tricks to make sure that all documents are completed, and you can still have a life outside of your job. Remember – stay organized, set realistic deadlines, and don’t let perfectionism stop you from finishing on time! Good luck!
